How do I book more sales meetings?

Contact more of the right people, follow up more than once, and make the next step a specific time on a calendar. Most lost meetings are not rejections. They are replies that never got a time proposed, follow-ups that never got sent, or leads that waited too long for an answer.

Find where meetings are actually lost

Count four things for the last month: people contacted, replies, replies that turned into a proposed time, and meetings held. The gap between any two is your problem. Fix the biggest gap first.

Follow up, and say something new each time

A single email gets few meetings. Four touches over about two weeks get noticeably more, because most people answer when the timing is right for them, not when you send. Each follow-up should add one thing: a short example, a small offer, a question. "Just checking in" adds nothing.

A follow-up schedule is in the follow-up sequence guide.

Ask for a time, not for interest

"Would you be open to a chat?" asks the reader to do the scheduling. "Are you free Tuesday at 2 or Thursday at 10?" asks a question they can answer in four words. Offer two times, keep the meeting short (15 minutes is easy to accept), and book it as soon as they pick.

If you are using a booking link, put it in the email after they show interest, not in the first message.

Answer fast

A buyer who replies "yes, send me more" is comparing you with someone else this week. Reply in minutes, not days. If you are away from your desk, that is the argument for automation: replies get an answer and a proposed time while you are on a job site or in a meeting.

Phone matters too. A missed call from a hot lead costs you the meeting. Rocketship answers the phone so no lead is missed, and a line is $5 a month; Launch does not include a number.

Arithmetic you can check

Say you contact 100 people over four weeks. Suppose 8 reply, 5 are open to talking and 4 end up on the calendar. That is 4 meetings per 100. These are illustrative numbers, not benchmarks. If the follow-up stage adds two more replies, you get 6 meetings. If you also answer all replies the same day, it might be 7. None of these changes need more leads. They need a better process on the leads you have.

A fictional example: Delmar Fire Safety, a regional fire inspection company, wanted more property manager meetings. It got nothing from one email. After adding three follow-ups and two proposed times per reply, the owner's calendar filled on Tuesdays and Thursdays.

Where Rocketship fits

Rocketship handles these steps in one product. It finds buyers by name, emails them from your own Gmail, follows up on a schedule, stops when someone replies, books or unsubscribes, answers replies and books the meeting on your calendar. By default the AI worker does this on its own, and you can review anything.

Launch is $24.99 a month with 50 leads (a phone line is +$5 a month), and Frontier is $79 a month with 200. Both start with a 7-day free trial, card required.

Related questions

How many follow-ups should I send to book a meeting?
Plan for about four touches over two weeks, then stop. Stop earlier for anyone who replies, books or opts out.
What should I say to get someone to agree to a meeting?
Offer two specific times and keep it short, for example 15 minutes. It is easier to say yes to a time than to a vague request.
Why do prospects agree and then not show up?
Often the meeting is too far out or there was no reminder. Book within a few days and send a short reminder.
Can software book meetings for me?
Yes. Rocketship answers replies and books the meeting on your calendar.

Rocketship follows up, answers replies and books the meeting on your calendar on its own.
