An out of office message is often the first thing a new lead reads from you. Most are written for coworkers: "I'm away, I'll reply when I'm back." For a business that still gets leads while the owner is gone, that wastes the moment. A good one says three things: when you are back, who handles anything urgent, and exactly when the sender will hear from you.

Gmail calls the feature the vacation responder. Below is where the settings are, what each does, six templates for different absences, and a checklist for the day you leave. The example business is Fennel & Fig Catering, a two-person shop in Savannah run by Noor and Elias.

What an out of office message must say

  • The dates you are away and the day you will answer. A weekday and a date, such as "Monday, Oct. 26," avoid confusion.
  • A person or a number for anything urgent, or a plain statement that nothing is urgent enough to need one.
  • One way to move forward without you: a booking link, a quote form, a phone line that is answered.

Leave out where you are and why. Telling the public your house is empty for three weeks is information you do not need to give. "Out of the office" is enough.

The Gmail vacation responder settings

  1. Click the gear icon, then "See all settings." Stay on the General tab and scroll to "Vacation responder."
  2. Choose "Vacation responder on."
  3. Set "First day" to the day you leave. Tick "Last day" and set the day you return, so it turns itself off.
  4. Fill in the Subject. Put the dates in it, so it is clear even in the inbox preview: "Out of office until Mon, Oct. 26."
  5. Write the message in the box.
  6. Decide on the checkbox "Only send a response to people in my Contacts." For a business, leave it unticked. New leads are not in your contacts, and they are the people you most want to hear from you.
  7. Click Save Changes at the bottom.

Two behaviors worth knowing. Gmail sends your reply to each sender once, and again only after about four days if they write again. It also skips mailing lists and obvious spam. On a Google Workspace account an admin may have limits, so check that yours works by testing it. You can set the responder in the Gmail app too, under your account's settings.

Template 1: a short trip

Subject: Out of office until Mon, Oct. 26

Thanks for your note. I'm out of the office through Sunday and will reply by noon on Monday, Oct. 26. For anything that can't wait, call Elias at 912-555-0114. To request a quote for an event, the form at fennelandfig.example/quote goes straight to us. Noor

Template 2: a long closure

Subject: Closed Dec. 14 to Jan. 4

Fennel & Fig is closed from December 14 through January 4. Email sent during that time will be answered starting January 5, in the order received. For events on or before January 10, please use the quote form now so we can confirm dates before we leave. For a food-safety or order problem on a delivery already made, call 912-555-0114.

Long closures need a deadline, a way to get ahead of the queue, and a line for real emergencies. Keep a short list of what an emergency is for your business.

Template 3: holidays

Subject: Closed for Thanksgiving

We're closed Thursday and Friday for Thanksgiving and will reply Monday morning. If you're planning a December event, our calendar is open at fennelandfig.example/book. Happy Thanksgiving. Noor and Elias

Template 4: busy season

This one is not an absence. Use it when wedding season buries you. It sets expectations so nobody feels ignored.

Subject: We're in our busy season

Thank you for writing. From now until October 31 we're replying within two business days. If your event is within two weeks, please call 912-555-0114 so we can look at the date right away. Otherwise the quote form at fennelandfig.example/quote is the fastest way to hold a date.

Template 5: a sick day

Subject: Out today, back tomorrow

I'm out of the office today and will reply tomorrow, Wednesday. If your question is urgent, call Elias at 912-555-0114. Thanks for your patience. Noor

No health details. A sick-day responder should be turned on in 30 seconds, so save the text in advance, with the dates left blank. Gmail templates can help; see Gmail canned responses.

Template 6: a one-person shop on a job site

Subject: On a job site, back to email at noon

Thanks for writing. I'm a one-person shop and I'm on a job today. I check email at noon and again at 5 p.m., and I answer everything the same day. If it's an emergency, text 912-555-0161. Elias

Honest and specific beats vague. A reply promised "at noon" is something a customer can plan around.

The day-you-leave checklist

  1. Turn the responder on and set both dates. (2 minutes)
  2. Email yourself from another account and confirm you get the reply. (2 minutes)
  3. Change the voicemail greeting to match: same dates, same urgent contact. See business phone greeting examples. (3 minutes)
  4. Set special hours on your Google Business Profile. (3 minutes)
  5. Block the dates on your booking calendar. (2 minutes)
  6. Tell your top five clients a week ahead, in person or by phone, not only by auto-reply.
  7. Decide who sees the inbox, and who handles after-hours calls; handle after-hours calls without being on call covers that.

What keeps running while you are gone

Outreach and follow-up you have already set up keep working. If you use Rocketship, the email worker keeps sending from your Gmail, answering replies and booking meetings while you are away. That makes the responder text matter more, not less: a lead who writes back gets the worker's answer, and may also get your auto-reply, so keep the auto-reply short and do not promise "I'll personally reply Monday" if the worker is replying for you. For how auto-replies from other people are treated, read cold email auto-replies and out of office. The follow-up side is in automatic follow-up email in Gmail. If a reply from a lead is crossing with your own responder, how to stop follow-ups when someone replies explains the rules. And if a full mailbox is part of the problem, voicemail box full has the phone side.

Rocketship finds the buyers, emails them from your own Gmail, follows up, and books the meeting on its own. Plans that get you customers start at $24.99 a month (Launch), and both Launch and Frontier start with a 7-day free trial, card required.
